How can we make the most out of meetings? First, we have to understand the objective of meetings: gaining consensus. Meetings are NOT a forum for the organizer to hear themselves think or as a way of just “checking in.” While checking in is important, do it through asynchronous channels: email, group chat, and so on. This allows people to read updates on their own time. Second, make the person who calls the meeting send out an agenda or a "briefing doc" BEFORE the meeting. No agenda and briefing doc, no meeting! If this sounds like more effort upfront, that’s exactly the point. Requiring an agenda and a brief not only saves everyone time by getting to the answer faster, but also cuts down on unnecessary meetings by adding a bit of effort on the part of the organizer before calling one. If you’re thinking, "That sounds fine but my boss would never do that,” THAT is exactly the problem. Distraction at work is a symptom of cultural dysfunction.
